Here in the club, we take data security seriously, but like most websites rely on you providing us, and us using that information, in order for us to run and manage the forum.  Using the eight tenants of GDPR, we will share our approach to maintaining your data and privacy. 

The right to be informed - Organisations must be completely transparent in how they are using personal data and must supply privacy notices to all members
We are both Data Controllers and Data Processors of the information you provide to us.  We also use the following services which should be considered data processors:-
Forumotion – A provider of forum software, servers and the connection services to power this area.  They are a Limited company operating under French Law.
Amazon AWS – A provider of compute capability, hosting the main website (hosted in the UK) and providing DNS capabilities (provides worldwide DNS lookups)
Google/Alphabet – Provides us with user metrics for and providing us insights into our user base.
CloudFlare – Provider of tools which enhance the security of the forum and website by providing encryption, DDoS protection and other services to improve the security posture and reliability of the websites  
Microsoft – Provision of administrative tooling in connection with running the forum


The right of access - Individuals will have the right to know exactly what information is held about them and how it is processed 

Forumotion is is our main repository of data, and is provided to us when you join and update your forum profile.  We ask for the following information:-

Mandatory
               A user name
               An Email Address*
               A Password
Optional
               Car Special Edition Number
               Car Model
               Car Engine Size
               Gender
               Birthday*
               Location
               Job / Hobbies
               Humour Type
               Additional Comments
Technical Background Information
               IP Address*
               Browser Type
               Device Type
               Screen Resolution
 
Items marked with * may be considered personally identifiable and we will take steps to control access to this information, or pseudonymised to prevent this data being traced back to you.

Additionally, where you chose to interact with the forum,  we will retain a copy of your posts for the life of the forum. 

From time to time, we may also ask for additional data to help us achieve a specific objective, for example organising an event.  This data will held in a manner that prevents casual access, e.g through encryption, password protection etc;  only provided to 3rd parties where necessary and who have robust GDPR policies in place; and only kept for a length of period necessary to achieve the goal set out and meet statutory legal compliance.

 
The right of rectification - Individuals will be entitled to have personal data rectified if it is inaccurate or incomplete 
We provide you with the ability to update your details on the forum at any time.  You may choose to provide us with additional data beyond mandated fields, but we do not enforce that this maps to the real world.  

Where a member of our club provides content to our group with personally identifiable content about you which is inaccurate, we will support, after appropriate verification and review, the updating/amending/removal of this content.
 
 
The right to erasure - Also known as 'the right to be forgotten', this refers to an individual's right to having their personal data deleted or removed without the need for a specific reason as to why they wish to discontinue
If you wish to be removed entirely from the forum, we can support the deletion of your user account.  Whilst we would encourage you to leave your posts for the benefit of the wider community, we can also arrange for your submissions to be deleted as well.
Where a member of our club provides content to our group with personally identifiable content about you which is inaccurate, we will support, after appropriate verification and review, the updating/amending/removal of this content.
 

The right to restrict processing - Refers to an individual's right to block or suppress processing of their personal data 
Where we use your data in the running of the club, we will provide you with the tools to change your opt in/out status at any time.  Where you wish to opt out of our data capture entirely, we will assist you through the process of removing your account data.
 

The right to data portability - This allows individuals to retain and reuse their personal data for their own purpose
You may access any posts that you have created through the Watched Topics section of your user profile.   We will support accessing data to which we have access to from other sources.  For the security of the system as a whole, we as administrators have limited access to the underlying data storage systems, but we will help you work with our data processor vendors to access your data should this be required.
 

The right to object - In certain circumstances, individuals are entitled to object to their personal data being used. This includes, if a company uses personal data for the purpose of direct marketing, scientific and historical research, or for the performance of a task in the public interest
You may alter your contact preferences through the Preferences tab of your profile.  This includes the sending of messages such as newsletters.   Where we have your data for other analytical usage, we will respect your wishes to not be included as part of this.  We do not sell or pass your data to third parties except to our data processors as defined above, in connection with running this service.
 

Rights of automated decision making and profiling The GDPR has put in place safeguards to protect individuals against the risk that a potentially damaging decision is made without human intervention. For example, individuals can choose not to be the subject of a decision where the consequence has a legal bearing on them, or is based on automated processing.
We do not use automated decision making and profiling in this regard.  However, should this position ever change, we shall be sure to notify you.
